Online Human Resources Software: E-HRMS and SaaS Solutions

Online HR software has boomed at the same time as other cloud technologies. This is not surprising as analytics firms such as Gartner or Deloitte predict a continued increase in business solutions in the cloud until 2020. In this case, online human resources software offers options to reduce the burden of routine operations within the department of HR, such as staff salaries or vacation and leave management. But what is considered online HR software? What elements does it bring to companies?

Human Resources Software

What is considered online HR software?

Online human resources software or E-HRM ( Electronic Human Resource Management ) is one that is used online, usually through a cloud or external hosting. Most of these applications are based on traditional on-premise versions of the same software, which have transformed their deployment model as a way to simplify certain aspects of the program. In online human resources software, these aspects mainly refer to costs, which are usually lower than those of on-premise versions, as well as the inclusion of more options for remote use.

The cloud: main HRMS trend

Most human resources programs on the market have been including options for cloud management, to the point where some providers are now only offered online. This is driven by the popularization of cloud systems since 2009 and other aspects directly related to this type of system. For example, Unistal, one of the HRMS manufacturers, has changed its business model from a traditional licensing system to a  purely cloud-based SaaS system. For this, it has made pertinent modifications to its system that allow continuous updates to its system in the cloud and has turned it into an online multi-tenant application.

Benefits of using online HR software

The introduction of cloud systems brings great benefits to employees, those responsible for HR, and the companies themselves. Thanks to functions such as employee self-service and manager self-service, actions that were previously the responsibility of the HR department have been simplified, such as:

  • Thanks to employee self-service, employees themselves can register requests for vacation days, training programs, and issues related to wages and payroll. In this way, periodic tasks within the HR department are simplified in order to focus efforts on other more relevant factors.
  • On the other hand, the manager's self-service will provide direct and organized control of personnel management. In this way, you can approve or reject requests for vacation days, promote promotions, check the evaluation of the performance of workers, and other key functions within the HR department.
  • Thanks to these portals and correct management of the information flow between them, the waiting times for requests within the HR department can be drastically reduced. This leads to higher productivity and overall satisfaction for both HR managers and the employees themselves.

Mobile and E-HRM

The introduction of smartphones and tablets in the daily lives of millions of people is also reflected in the field of online human resources software. Many applications are seeing how their move to the cloud is accompanied by mobile applications, with which to take advantage of the possibility of access from anywhere. In this sense, many of the requests that previously could only be made within the company itself, such as holidays, are now accessible from the mobile phone.

In addition, some of these applications also include other more specific functions, such as an event or meeting planner, monitoring of activities and attendance, notification of changes in work hours, or employee birthdays. However, many of these functions may be excessive for the use that will be given to the system in the company, so a study of the real needs of the company must be carried out before deciding to implement any online human resources software.
